We are looking for an Office Manager/Executive Assistant for an Aviation company based in Dubai.

Requirements:
- 3+ years of experience in an Executive Assistant role
- Strong organizational, communication, and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and maintain discretion with sensitive information.
- Strong verbal and written communication skills
- Strong presentation skills and adept in MS Productivity tools e.g. MS PowerPoint and MS Excel
- Detail orientated and able to handle multiple priorities and deadlines
- Proficiency in AI and machine learning tools and software
- Flexible and proactive
Key Responsibilities:
- Assist employees with the visa renewal process, ensuring all necessary paperwork is completed and submitted on time.
- Manage and update the company’s social media accounts, creating engaging content and tracking performance.
- Support internal and external corporate communication efforts, including drafting emails, reports, and other business correspondence.
- Help facilitate smooth onboarding and offboarding processes, including preparing documentation, coordinating logistics, and ensuring a positive experience for new hires and departing employees.
- Coordinate and manage complex schedules, ensuring that the Chairman and Co-CEO are well-prepared and informed of upcoming appointments and commitments. Proactively address scheduling conflicts and adjust appointments to optimize time effectively.
- Arrange travel for senior management, including flights, accommodations, visa processing, and detailed itineraries. Manage changes to travel plans and communicate relevant updates to ensure a smooth travel experience.
- Produce, edit, and finalize reports, presentations, and other materials as requested by senior management for both external and internal purposes. Ensure all materials are accurate, polished, and completed within specified deadlines.
- Organize and maintain both physical and electronic filing systems to ensure easy access to documents. Regularly review and update files to maintain accurate records for the office and senior management.
- Support the planning and execution of company events, meetings, and conferences. Handle logistics such as venue bookings, catering arrangements, and AV setup to ensure seamless events for attendees.
- Track and manage expenses for the Co-CEOs. Prepare and submit expense reports, ensuring accuracy and compliance with company policies.
- Provide ad-hoc assistance with day-to-day office operations, including supply ordering, vendor coordination, and supporting special projects as assigned. Proactively identify areas where support is needed and suggest improvements to optimize office processes.
